Overview

Call Forge LLC ("CallForge," "we," "us") operates callforge.us and provides AI-powered phone answering services to home service businesses. This policy explains what we collect, why, and your choices. Questions: [email protected] or (360) 930-2308.

1. Who this covers

This policy applies to (a) visitors and prospective customers who use CallForge.us, submit our contact form, or book a demo; and (b) callers whose calls are answered by a CallForge AI voice agent on behalf of one of our business customers. If you called a business and spoke to an AI assistant, that business owns your information, and we process it on their behalf.

2. Information we collect

Directly from you: name, email, phone, and any message you submit; information provided when booking or attending a demo; billing details if you become a customer (card numbers are handled by our payment provider, not stored by us). When a CallForge agent answers a call, audio recordings, written transcripts, the caller's phone number, date, time, duration, and details the caller provides, such as name, service address, and the nature of the job, are recorded. Automatically: IP address, browser and device type, pages viewed, referring site, and cookies.

3. Call recording—please read

CallForge records and transcribes calls; recording is a core part of the service. Washington State is an all-party consent state under RCW 9.73.030, meaning every party to a call must consent before it may be recorded. Other states have similar laws. Our business customers are responsible for disclosing the recording to their callers, typically through an announcement at the start of the call. If you are a caller and do not consent to being recorded, tell the agent and end the call. If you are a CallForge customer, you are responsible for ensuring recording disclosure complies with the laws of every state you take calls from.

4. How we use information

To answer, qualify and route calls for our customers; book appointments onto customer calendars; respond to inquiries and provide support; send service updates, appointment confirmations and (where you have consented) marketing messages; bill customers and keep financial records; improve the accuracy and quality of our AI voice agents; detect and prevent fraud, spam and abuse; and comply with legal obligations. We do not sell your personal information.

5. Text messages

If you provide a phone number and check the applicable consent box, you may receive text messages from us. Message frequency varies, and message and data rates may apply. Reply STOP to opt out at any time, or HELP for assistance. Consent to marketing messages is not a condition of purchase. Non-marketing messages relating to an enquiry or booked appointment may still be sent where permitted by law.

6. When we act as a service provider

When a CallForge agent answers calls for one of our business customers, that customer is the data controller, and we act as their service provider. We handle caller information only as instructed by that customer. To have information from such a call deleted or corrected, contact the business you called; if you contact us instead, we will forward your request to them.

7. Who we share information with

Service providers who help us operate, including HighLevel (CRM, messaging, and website hosting), Google (email and workspace), telephony providers, and our payment processor—they may use your information only to perform services for us. Our business customers, where we answered a call on their behalf. Legal and safety disclosures when required by law or to protect rights, safety, or property. Business transfers, if we are involved in a merger, acquisition, or sale of assets.

8. Cookies and tracking

We use cookies and similar technologies to keep the site working, remember preferences, and understand how the site is used. We may also use advertising and analytics tools that set cookies to measure campaign performance. You can control cookies through your browser settings; blocking some cookies may affect how the site works.

9. How long we keep information

Call recordings and transcripts are retained while the relevant customer account is active or as that customer instructs. Contact forms and demo inquiries are retained while we are in contact with you and for a reasonable period afterward. Billing records are retained as long as required by tax and accounting law. We delete or de-identify information when it is no longer needed.

10. Your rights and choices

Depending on where you live, you may have the right to request a copy of the personal information we hold, request correction or deletion, opt out of marketing communications, and opt out of the sale or sharing of personal information (we do not sell personal information). To make a request, email [email protected]. We will verify your identity before acting and will not discriminate against you for exercising these rights. Washington residents: the My Health My Data Act provides additional rights regarding consumer health data; we do not knowingly collect consumer health data.

11. Security

We use reasonable administrative, technical, and physical safeguards, including encryption in transit and access controls. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

12. Children

Our services are not directed to anyone under 18, and we do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.

13. Changes

We may update this policy from time to time. Material changes will be reflected in the last updated date above. Continued use of our services after a change means you accept the updated policy.
